Operations Coordinator
Summary: This position provides professional administrative support to the agency, ensuring efficient and effective internal operations. The Coordinator manages communications and associated requests and maintains a professional office environment.
Salary:
$50,000-$60,000 commensurate with experience.Location:

Job Roles
BUILDING:
Maintain a professional and client-ready office environment, including the front desk, entry, and conference rooms
Coordinate and assist with office facilities and equipment maintenance, repairs, and moves, including phone and IT transitions
Oversee and coordinate with external office service providers (e.g., cleaning, snow removal, landscaping, HVAC, plumbers)
Handle kitchen duties such as loading, running, and emptying dishwashers
OFFICE
Manage all incoming and outgoing mail, deliveries, and shipping needs
Oversee office amenities, including setting up and maintaining coffee stations and stocking drinks and snacks
Meeting and client needs coordination (ordering lunch, setting up conference room, preparing drink station, and other related tasks)
Coordinate company functions and internal projects (i.e. client holiday gifts) Proactively manage office supply inventory

Support Account Leadership in the maintenance of client contacts and birthdays
Assist with the setup and maintenance of agency-specific software licenses and user accounts
Support Finance team as directed (i.e. operating budget management and other related tasks)
STAFF
Manage and assist employees with travel as needed (i.e. overseeing internal per diem and hotel tracking, rental car memberships, etc.)
HR support as directed including Onboarding and offboarding employee support as needed
Run and send department time reports on weekly and monthly basis
Qualifications
Understanding of the fast-paced nature and demands of an advertising agency environment
Ability to support diverse operational needs across various departments (e.g., creative, account leadership, project management) involved in integrated campaign development.
Ability to manage priorities and time for maximum efficiency and impact
Exceptional organizational skills and attention to detail
Ability to anticipate needs and prioritize tasks effectively in a dynamic environment
Proactive and resourceful problem-solver with a can-do attitude
Discreet and capable of handling confidential information with integrity
Strong communication and collaboration skills to build and nurture relationships effectively
Proficiency in Mac OS and Microsoft Office Suite; Excel and Google Docs fluency is a plus
