Accounting & Operations Coordinator
Summary: This position provides professional administrative and accounting support to the agency, ensuring efficient and effective internal operations. The Coordinator serves as a knowledgeable resource to the Accounting and HR Manager and other staff, executing essential accounting and operational tasks, including managing communications and associated requests
Salary:
$50,000-$60,000 commensurate with experience.Location:

Job Roles
ACCOUNTING DUTIES:
Assist with accounts payable processing, including mailing checks and maintaining the digital filing system.
Monitor employee timesheet entry, report deficiencies, and distribute weekly time reports.
Create new vendors in the accounting software, including collecting and storing W-9 and ACH forms.
Manage freelance invoicing, billing, and reporting
Manage and track travel costs (billable and non-billable).
Enter credit card charges.
Assist with month-end and year-end accounting tasks, including 1099 creation and audit support.
Perform deposit reconciliations
Support budgeting and forecasting processes
Assist with reconciling financial records, such as bank and credit card statements.
Assist with and manage annual business personal property reporting
Assist with financial data entry, invoicing, and accounts payable/receivable
Assist with and manage various monthly financial tracking documents.
Work with the Finance Director and Accounting Manager on transactional accounting duties as needed.
OPERATIONS DUTIES:
Maintain a professional and client-ready office environment, including the front desk, entry, and conference rooms.
Manage all incoming and outgoing mail, deliveries, and shipping needs
Oversee office amenities, including setting up and maintaining coffee stations and stocking drinks and snacks.
Coordinate company functions and assist employees with travel as needed
Handle kitchen duties such as loading, running, and emptying dishwashers.
Coordinate and assist with office facilities and equipment maintenance, repairs, and moves, including phone and tech transitions.
Oversee and coordinate with external office service providers (e.g., cleaning, snow removal, landscaping, HVAC, plumbers).
